Client privacy notice
How we look after the information you share with us as a client, including your training and health information.

Who we are
The Ludorum Club is operated by Ludorum Club Limited (company number 15873402), at 15-16 Margaret Street, London W1W 8RW. Ludorum Club Limited is the data controller for the information in this notice, and is registered with the Information Commissioner's Office under reference ZB905274.

What we hold
Your details. Your name, contact details, the sessions and packages you have bought and your payments.
Your training. Your goals, movement assessments, programmes, session notes and progress, including body composition results from our seca analyser.
Your health. Anything you tell us that affects how you can train, such as injuries, medical conditions, medication or pregnancy.
Optional extras. If you choose blood testing or wearing a WHOOP, the relevant findings and readings you agree to share with us.
How we use it
We use your details and training information to book and run your sessions, write and adjust your programme, take payment and keep in touch about your training. This is necessary to provide the training you have signed up for.
We keep financial records because the law requires us to.
We do not send you marketing without your agreement, and we never sell your information.
Your health information
Health information needs extra care under data protection law. We ask for your explicit consent to hold it when you join, and we use it only to keep your training safe and suitable for you.
You can withdraw your consent at any time. If you do, we may not be able to keep training you safely, and we will talk that through with you.
In an emergency, we may share relevant health information with emergency services to protect you.
Blood testing
Blood testing is optional. Where appropriate, it can be reviewed by our medical partners, with relevant findings used to help inform your training.
Our medical partners are responsible for your samples and results as healthcare providers, under their own privacy notices. With your agreement, they share relevant findings with your coach, and we hold only those findings.
WHOOP
Once training and a routine are established, you may be offered a WHOOP at the club's expense. WHOOP processes your data under its own privacy policy.
You choose whether to share your WHOOP readings with your coach. If you do, we use them only to plan your training, and you can stop sharing at any time.
Who sees it
Your information is seen only by the coaches who work with you and by Jake as founder. We use trusted companies to store our records and email (currently Google), and they handle your information only on our instructions.
Some of these companies, and WHOOP, may store information outside the UK. Where they do, they use safeguards recognised under UK data protection law.
We share information with anyone else only if the law requires it or you ask us to.
How long we keep it
We keep your training and health records for 3 years after your last session, then delete them. You can ask us to delete them sooner.
We keep financial records for 6 years, as the law requires.
Keeping it safe
We keep your records secure, limit access to the people who need it and never discuss your information in front of other clients.
Your rights
You can ask us for a copy of the information we hold about you, and ask us to correct it, delete it, limit how we use it or pass it to you in a portable form. You can also object to how we use it, and withdraw your consent where we rely on it.

Complaints
If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.
Changes
If we change how we use your information, we will update this notice and tell you about anything significant.
